We may restrict or suspend access where reasonably necessary to protect the website, users, systems or business operations.
3. Services and scope
Flowtrackai OS builds bespoke, done-for-you AI-powered Business Operating Systems for growing service businesses.
The Core System may connect CRM, pipelines, lead capture, email and SMS automation, booking, dashboards, reporting, workflow automation, onboarding and training. The AI Growth System may add AI prospect sourcing and enrichment, personalised outreach, qualification, appointment setting, multi-channel nurture, customer-journey tracking, AI performance insights and sales-process optimisation.
The exact deliverables, integrations, implementation sequence, client inputs, training, optimisation and timescales will be defined in the applicable proposal, statement of work or service agreement. Implementation timing depends on system scope, workflow complexity, access to required information, third-party platforms and timely client cooperation.
Requests outside the agreed scope may require a revised timeline and additional fees. Any material scope change must be agreed in writing.
4. Client responsibilities
To enable delivery, you agree to provide accurate information and reasonable cooperation, including:
- timely access to relevant software, accounts, data, processes and team members;
- prompt reviews, decisions, approvals and feedback;
- lawful authority to share all data, materials and account access supplied to us;
- appropriate security practices for credentials and user access;
- compliance with laws and platform rules applying to your sales, marketing, communications, data and operations;
- review and oversight of workflows, messages, reports and AI-assisted outputs before relying on them.
Delays, incomplete information or changes on your side may affect delivery dates, performance and cost.
5. Pricing, invoices and payment
The Core System starts from £7,000 implementation and £297 per month. The AI Growth System starts from £14,000 implementation and £497 per month. Final pricing scales with business size, qualification complexity and build scope.
Your final fees, payment schedule, included services and any applicable taxes will be stated in your proposal, order form, invoice or service agreement. Payment is due according to the terms shown in those documents.
Unless otherwise agreed in writing, fees already paid for completed work, reserved implementation capacity, activated services or incurred third-party costs are non-refundable. We may pause work or access to managed services if an undisputed payment becomes overdue.
Third-party software, communication usage, advertising, data, domain, email, SMS, AI model or integration charges are not included unless expressly identified as included in writing. You remain responsible for charges payable directly to third-party providers.
6. Third-party platforms and integrations
Services may connect with third-party software, APIs, communications providers, data providers and AI tools. Those services are governed by their own terms, privacy practices, availability and pricing.
We do not control third-party services and cannot guarantee that they will remain available, unchanged, compatible or error-free. A provider may alter or discontinue functionality, impose limits, suspend an account or change its fees. Where this affects the agreed system, we may recommend an alternative or quote separately for required reconfiguration.
7. AI, automation and outreach
AI and automated systems can produce incomplete, inaccurate, outdated or unsuitable outputs. They support business processes but do not replace professional judgement, human review or decisions that must be made by appropriately qualified people.
You are responsible for approving the intended use of AI and automation within your organisation and for checking important outputs before action is taken. You are also responsible for ensuring that outreach, prospecting, enrichment, email, SMS and other communications comply with applicable laws, consent requirements and platform policies.
Automated sourcing, outreach, qualification and nurture can support pipeline activity, but no specific volume of leads, meetings, sales, revenue or conversion is guaranteed.
8. Intellectual property
Flowtrackai OS retains ownership of its pre-existing materials, methods, templates, know-how, frameworks, processes and reusable components. Website content is owned by or licensed to Flowtrackai OS and may not be copied or commercially reused without permission.
You retain ownership of materials, branding, content and data you provide. You grant us the limited rights needed to access, use, configure, process and reproduce those materials solely to deliver, support and improve the agreed services.
Ownership and usage rights for bespoke deliverables will be set out in the applicable written agreement. Unless that agreement states otherwise, third-party software and components remain subject to their respective licences.
9. Confidentiality, security and data
Each party agrees to use reasonable care to protect confidential information received from the other and to use it only for the relevant business relationship. This does not apply to information that is public through no breach, already lawfully known, independently developed or lawfully received from another source.
You remain responsible for deciding what data is entered into your systems, maintaining lawful grounds for processing it and managing your users, permissions, retention rules and communications. No internet-connected system can be guaranteed completely secure or continuously available.
Personal information submitted through this website is handled in accordance with our Privacy Policy. Additional data-processing terms may apply where we process personal data on your behalf.
10. Website and service disclaimers
Website content is provided for general information and does not constitute legal, financial, tax, compliance or other regulated professional advice. You should obtain appropriate independent advice for decisions requiring specialist expertise.

To the fullest extent permitted by law, Flowtrackai OS will not be liable for indirect, incidental, special or consequential losses, or for loss of profit, revenue, opportunity, anticipated savings, goodwill, data or business interruption arising from website use or the services.
To the fullest extent permitted by law, our total aggregate liability arising from a particular service engagement will not exceed the fees paid by you to Flowtrackai OS for the service giving rise to the claim during the period specified in the applicable written agreement. If no period is specified, the relevant cap will be determined under applicable law and the circumstances of the engagement.
We are not responsible for losses caused by inaccurate client information, unauthorised account access outside our control, client modifications, failure to follow instructions, third-party services or events beyond our reasonable control.
12. Suspension and termination
Service duration, renewal, notice and cancellation terms will be stated in the applicable proposal or service agreement. Either party may have additional termination rights where the other materially breaches an agreement and does not remedy that breach within any applicable cure period.
We may suspend affected services where reasonably necessary because of overdue undisputed fees, security concerns, unlawful use, misuse of third-party platforms or a material breach.
On termination, outstanding fees and approved third-party costs remain payable. Provisions concerning payment, intellectual property, confidentiality, disclaimers, liability and other terms intended to survive will continue to apply.
13. Changes and general terms
We may update these website terms to reflect changes in services, technology, legal requirements or business practices. The revised version will apply from the date it is published on this page. Changes to an active signed service agreement will be handled according to that agreement.
If any part of these terms is found unenforceable, the remaining provisions will continue in effect. A failure to enforce a right does not waive that right. You may not transfer your rights or obligations under a service agreement without written consent, except where the agreement permits it.
The governing law, courts and dispute process for paid services will be those stated in the applicable proposal, order form or service agreement. If these are not stated, the parties will first attempt in good faith to resolve any dispute through direct discussion before pursuing formal proceedings.
